This Privacy Policy explains how Presage42 collects, uses, stores, shares, and protects information when you use Task Flow AI Assistant – To Do (“Task Flow,” the “App,” or the “Service”).
Task Flow is a productivity and task-management app with AI assistant features. The App allows you to create, organize, plan, schedule, and manage tasks, reminders, habits, calendar-related planning, AI conversations, and related productivity data.
Task Flow is distributed through the Apple App Store for iOS and iPadOS, with Mac Catalyst, Apple Watch, and Android companion experiences where available. These companion experiences may mirror the same account and synced data where supported.
Please read this Privacy Policy carefully. By using the Service, you acknowledge that your information will be processed as described below.
1. Who We Are
Presage42 is the provider of Task Flow and is responsible for the processing of personal information described in this Privacy Policy, unless otherwise stated.

2. Summary of Our Data Practices
We want our privacy practices to be clear:
We do not sell your personal information.
We do not use your data for third-party advertising or cross-app tracking.
We do not use your task content, AI chat content, or other user content to train our own AI models.
We do not show Apple’s App Tracking Transparency prompt because we do not track you across other apps or websites.
We do not use third-party advertising SDKs.
We do not use third-party analytics SDKs such as Firebase Analytics, Mixpanel, Amplitude, PostHog, or similar tools.
We do not use Firebase Crashlytics, Sentry, or similar third-party crash-reporting SDKs.
We do not collect precise GPS location.
We do not access your contacts.
We do not request camera, photo library, or device file access for the current App functionality.
We use OpenAI’s API to provide AI assistant, natural-language task processing, transcription, and text-to-speech features.
We use Supabase for authentication, database storage, backend functions, and cloud sync.
We use Apple Push Notification service to deliver remote reminders across devices.
We use Adapty to manage subscriptions and purchase status.
We use Twilio SendGrid’s Inbound Parse service for the optional Email-to-Task feature.
We use Google Calendar and Microsoft Outlook Calendar only when you choose to connect those services.
3. Information We Collect or Process
The information we collect or process depends on how you use Task Flow.
3.1 Account and Authentication Information
Task Flow uses an account so your tasks, plans, settings, reminders, AI chats, and related productivity data can sync across your devices.
Accounts are managed through Supabase.
You may sign in using:
Sign in with Apple. Apple may provide an opaque Apple user identifier and, depending on your Apple settings and authorization choices, an email address or Apple private relay email address.
Google Sign-In. Google may provide an identity token and account email address that we use to authenticate your account.
We may store the following account-related information:
- account or user identifier
- profile record
- email address, where provided by Apple or Google
- authentication and session information
- subscription access status
- account settings and preferences
Session and authentication tokens may be stored locally on your device using platform-secure storage, such as Apple Keychain.
We use account and session identifiers to:
- authenticate your access to the Service
- sync your data across devices
- provide subscription access
- apply usage limits and rate limits
- protect against abuse and misuse
- support account deletion
- provide customer support
3.2 Task and Productivity Content
Task Flow’s primary content is the productivity data you create, manage, or ask the AI assistant to manage.
Depending on how you use the App, this may include:
- tasks
- subtasks
- notes
- due dates
- reminder times
- recurring-task rules
- priorities
- tags and labels
- folders and lists
- daily plans
- scheduling data
- habits
- completed-task history
- off-day entries
- goals and planning preferences
- calendar-related planning preferences
- notification preferences
- AI chat conversations, sessions, and messages
- AI-generated plans, summaries, and suggestions
- in-app settings and preferences
Task Flow is a cloud-synced app. Your task and productivity content is stored in our backend, powered by Supabase, so it can sync across your devices. The App may also cache this information locally on your device for offline access, speed, and reliability.
Your AI chat history is stored both on our backend and locally on your device so the assistant can provide a continuous productivity experience.
You can delete tasks, chats, and other content from within the App where supported. Deleted tasks may first be moved to a recoverable trash area before permanent removal so you can restore them if needed.
Local copies may remain on a device until you delete them in the App, clear local app data, or uninstall the App. Deleting your account deletes your backend data as described in Section 9.
3.3 Email-to-Task Feature
Task Flow offers an optional Email-to-Task feature.
When you enable Email-to-Task, the App generates a private email address for your account. Any email you send or forward to that address can become a task in your Task Flow Inbox.
To provide this feature:
- the email is received by Twilio SendGrid through its Inbound Parse service
- the email is forwarded over HTTPS to the Task Flow AI service
- the Task Flow AI service creates a task from the email
The email information processed for this feature may include:
- email subject
- sender address
- body text
- timestamp
- technical email metadata necessary to process the request
If you enable Email Assist, the subject and body text of the email may also be sent to OpenAI to generate a clearer task title, notes, subtasks, priority, due dates, or related task details.
File attachments sent to your Email-to-Task address are ignored and are not stored or processed by Task Flow.
Because anyone who has your private Email-to-Task address could use it to add tasks to your account, you should keep it private. You can generate a new address at any time, which disables the previous one.
Emails sent to your Email-to-Task address are used to create a task and are not separately retained by Task Flow after processing, except as part of the resulting task content. Twilio SendGrid may process and retain email data according to its own policies.
3.4 AI Assistant, Prompts, Outputs, and OpenAI
Task Flow includes an AI assistant. You can chat with the assistant and ask it to create, edit, organize, prioritize, schedule, or adjust your tasks, reminders, plans, habits, calendar-related planning, and related settings.
The AI assistant also powers features such as:
- natural-language task understanding
- daily planning
- productivity suggestions
- task organization
- voice transcription
- text-to-speech
- Email Assist for Email-to-Task
AI requests are not sent directly from your device to OpenAI. They are sent to the Task Flow backend, which verifies your signed-in session, applies per-user rate limits, protects the OpenAI API key, and forwards the request to OpenAI’s standard API.
Depending on the feature you use, the following information may be sent to OpenAI to provide AI functionality:
- your AI chat messages
- relevant recent conversation context
- task titles
- task descriptions and notes
- due dates
- reminder information
- project, list, folder, tag, or label names
- habit and planning-related information
- calendar or schedule context relevant to your request
- planning preferences relevant to the assistant’s response
- AI-generated outputs
- audio you record for voice transcription
- text you ask to be read aloud through text-to-speech
- email subject and body text when Email Assist is enabled
We do not send your name, email address, Apple user identifier, Google user identifier, device identifiers, or push notification tokens to OpenAI as part of AI requests. Authorization is handled by our backend, so direct account identifiers are not included in the AI request payload.
Our AI data commitments:
We do not use your task content, AI prompts, AI outputs, or other personal information to train our own AI models.
We do not set store=true on OpenAI API requests.
We do not use OpenAI Assistants API, Files API, Batch API, fine-tuning, retrieval, vector-store, or similar storage-oriented OpenAI features unless we update this Privacy Policy.
OpenAI does not use API inputs or outputs to train its models unless data sharing is explicitly enabled in the API organization settings.
OpenAI may retain API request and response data for up to 30 days for abuse and misuse monitoring, unless a different retention setting applies or longer retention is required by law.
Because AI features process the content you provide, you should avoid entering highly sensitive personal information unless it is necessary for the task you want the assistant to perform.
4. What the AI Assistant Can Do
Within the App, the AI assistant may help you:
- create tasks
- edit tasks
- complete tasks
- delete tasks
- create and edit reminders
- build and adjust daily plans
- reorder and prioritize tasks
- organize tasks into lists, folders, tags, or labels
- suggest habit or planning improvements
- adjust in-app planning settings and notification preferences
- help schedule items as calendar events where calendar integration is enabled
The assistant acts only within your account and on your data. Changes made by the assistant are reflected inside the App, where you can review, edit, complete, delete, or restore supported items.
The assistant cannot change operating-system-level device permissions, manage your Apple, Google, or Microsoft account settings outside the App, or change your payment details.
Deleted tasks may go to a recoverable trash area before permanent removal, as described in this Privacy Policy.
5. Reminders and Notifications
Task Flow uses notifications to remind you about tasks, plans, habits, and scheduled items.
With your permission, the App may use:
local notifications scheduled on your device; and
remote push notifications delivered through Apple Push Notification service.
To deliver reminders reliably across your devices, the App may register for remote push notifications and store your device’s APNs push token in our backend, powered by Supabase. Our backend uses that token to send scheduled reminders and productivity notifications.
Notification content may include task titles, reminder text, dates, times, or other short task-related information so the alert is useful at a glance.
You can disable notifications at any time in your device settings. If you disable notifications, some reminder features may not work as intended.
We do not use push notification tokens for advertising, cross-app tracking, or sale to third parties.
6. Calendar Integration
Task Flow can connect to calendars so tasks you choose to schedule as events can appear alongside your other plans and so the App can help you plan your time.
Supported calendar integrations may include:
- Apple Calendar
- Google Calendar
- Microsoft Outlook Calendar
Calendar integration is optional. We process calendar data only when you grant permission or connect a calendar account.
Apple Calendar
Apple Calendar is accessed on-device through Apple’s EventKit framework after you grant calendar permission.
Task Flow may add, update, or remove calendar events that it creates for your tasks. Apple Calendar data is primarily accessed on your device. When you ask the AI assistant to help plan your schedule, relevant planning context may be sent to our backend and OpenAI to fulfill your request.
Google Calendar
If you connect Google Calendar, Task Flow uses Google OAuth to obtain permission from you.
Task Flow may store Google Calendar access and refresh tokens in our backend, powered by Supabase, so calendar sync can work across your devices. Calendar event details, such as event titles, dates, times, and related scheduling information, may be used to display, sync, create, update, or remove calendar events and to help generate plans when you request planning assistance.
Our use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use Google Calendar data only to provide and improve user-facing calendar and scheduling features in Task Flow. We do not sell Google user data, use it for advertising, use it for cross-context behavioral advertising, or use it to train generalized AI or machine learning models.
Microsoft Outlook Calendar
If you connect Microsoft Outlook Calendar, Task Flow uses Microsoft OAuth to obtain permission from you.
Task Flow may store Microsoft access and refresh tokens in our backend, powered by Supabase, so calendar sync can work across your devices. Calendar event details, such as event titles, dates, times, and related scheduling information, may be used to display, sync, create, update, or remove calendar events and to help generate plans when you request planning assistance.
Disconnecting Calendars
You can disconnect a calendar integration at any time. Disconnecting a calendar removes the stored connection tokens from Task Flow. Events already created in your external calendar may remain in that calendar unless you delete them there or remove them through supported App functionality.
7. Device Permissions and Platform Features
Task Flow may request access to certain device permissions only when needed for specific features.
Notifications
Used for task reminders, habit reminders, planning alerts, and productivity notifications.
Calendar
Used to manage calendar events for tasks or plans you choose to schedule.
Microphone
Used only for voice task capture or voice assistant features. Audio you record may be sent to OpenAI for transcription. We do not retain recorded audio beyond what is needed to process the request, unless a future feature explicitly allows you to save audio and this Privacy Policy is updated accordingly.
What We Do Not Currently Collect or Request
Based on the current implementation, Task Flow does not collect or request:
- precise GPS location
- location-based reminders
- contacts
- camera access
- photo library access
- device files
- photo attachments
- biometric identifiers
- health data
- payment card numbers
- IDFA for tracking
- third-party advertising identifiers
Attachments sent to your Email-to-Task address are ignored and are not stored or processed by Task Flow.
Voice transcription and text-to-speech are provided by OpenAI, not by Apple’s on-device speech framework.
You can manage device permissions through your device settings. Some features may not work if you disable required permissions.
8. How We Use Information
We use information for the following purposes.
8.1 To Provide the Service
We use information to:
- create, store, sync, and display tasks
- create, store, sync, and display reminders
- manage habits, plans, labels, folders, and preferences
- provide AI assistant functionality
- process natural-language task requests
- provide voice transcription and text-to-speech
- process Email-to-Task requests
- sync data across your devices
- provide calendar integrations
- deliver local and remote notifications
- provide offline caching and performance improvements
8.2 To Operate Accounts and Subscriptions
We use account identifiers, session information, subscription status, and purchase-related data to:
- authenticate users
- restore purchases
- unlock paid features
- manage free and Pro access
- apply usage limits
- provide account deletion
- respond to support requests
8.3 To Maintain Security, Reliability, and Abuse Prevention
We may use technical data, request metadata, IP-derived country information, account identifiers, rate-limit data, and usage counters to:
- prevent abuse, fraud, and automated misuse
- enforce rate limits
- protect service availability
- detect and investigate technical issues
- enforce regional availability restrictions
- comply with legal, sanctions, or export-control obligations
- protect the rights and safety of Presage42, users, and others
8.4 To Provide Support
If you contact us, we use your email address, message content, attachments, and any information you choose to provide to respond to your request, troubleshoot issues, and improve support.
8.5 To Comply with Legal Obligations
We may process and retain information where necessary to comply with applicable laws, legal requests, tax or accounting obligations, sanctions or export-control requirements, regulatory obligations, or to establish, exercise, or defend legal claims.
9. Account Deletion
You can delete your account from within the App through the account deletion flow or by contacting us at hello@presage42.com.
When you delete your account, our backend permanently removes your authentication record and deletes your user-owned backend data by database cascade. This may include:
- tasks
- chats
- plans
- habits
- labels
- folders
- calendar connections
- push tokens
- preferences
- related account records
We delete or anonymize personal information in active systems unless retention is required or permitted for legal, security, fraud-prevention, accounting, subscription, sanctions/export-control, or dispute-resolution reasons.
Local data on a device may also need to be deleted in the App, by clearing local app data, or by uninstalling the App.
Some information may persist for a limited time in Apple, Adapty, OpenAI, Supabase, Twilio SendGrid, hosting, support/email, calendar provider, or backup systems according to their respective policies.
10. Payments and Subscriptions
Task Flow may offer a free plan and a Pro subscription.
Purchases are processed through Apple In-App Purchase where available. We do not receive or store your full payment card details.
We use Adapty to manage:
- subscription status
- purchase validation
- paywall configuration
- entitlement access
- restore purchases
- access to paid features
Adapty may process customer or user identifiers, subscription status, purchase events, product identifiers, transaction-related information, and related technical information.
Apple and Adapty process payment and subscription information according to their own terms and privacy policies.
11. Analytics, Crash Reporting, and Tracking
Task Flow does not use third-party analytics or crash-reporting SDKs.
Specifically, the App does not include:
- Firebase Analytics
- Firebase Crashlytics
- Mixpanel
- Amplitude
- PostHog
- Sentry
- third-party advertising SDKs
We do not use IDFA for tracking. We do not perform cross-app or cross-website tracking. We do not use your data for third-party advertising or retargeting. Because we do not track you across other companies’ apps or websites, the App does not show Apple’s App Tracking Transparency prompt.
The App Store, operating system, device, or platform providers may provide their own diagnostics or analytics depending on your device settings and their policies.
12. Backend, Hosting, and Infrastructure Logs
Task Flow relies on the following backend and infrastructure components.
Supabase
Supabase provides authentication, database storage, backend functions, cloud sync, and server-side functionality for reminders and calendar token exchange or refresh.
Supabase stores your account, task, productivity, AI chat, preference, notification, and related App data as needed to provide the Service.
Task Flow AI Service
The Task Flow AI service is our own backend service. It:
- proxies AI requests to OpenAI
- protects the OpenAI API key
- verifies signed-in sessions
- applies rate limits
- handles AI assistant requests
- handles account deletion-related operations
- receives email forwarded by Twilio SendGrid for the Email-to-Task feature
The Task Flow AI service is hosted by Hosting Dünyam Bilişim Hizmetleri.
Twilio SendGrid
Twilio SendGrid’s Inbound Parse service receives emails sent to your private Email-to-Task address and forwards them over HTTPS to the Task Flow AI service.
Infrastructure Logs
All backend traffic uses HTTPS/TLS.
Our hosting provider may process standard infrastructure logs, such as:
- IP address
- request timestamp
- endpoint path
- HTTP status code
- technical diagnostics
- error information
Hosting Dünyam may retain standard infrastructure logs for up to 30 days, unless longer retention is required for security, fraud prevention, legal compliance, or dispute resolution.
IP-Derived Country Lookup
The Task Flow AI service performs an IP-derived country lookup using a locally embedded GeoIP database.
The derived country is used for:
- regional restrictions
- service availability
- sanctions and export-control compliance
- access to certain protected AI features
- security and abuse-prevention purposes
We do not use IP-derived country information for advertising, profiling, precise location tracking, or cross-app tracking.
We do not currently use a CDN such as Cloudflare, Fastly, or Akamai for this Service.
13. Data Retention
We keep information only for as long as reasonably necessary for the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law.
Task and Productivity Data
Your tasks, plans, habits, labels, folders, preferences, calendar-related records, and AI chat messages are stored until you delete them or delete your account.
Deleted Tasks
Deleted tasks may be kept in a recoverable trash area before permanent removal.
AI Prompts and Outputs
AI prompts and outputs are not separately retained by our AI proxy after a request is served, except as part of the AI chat history or task content you choose to keep in your account.
OpenAI’s own API retention is described in Section 3.4.
Email-to-Task Data
Emails sent to your Email-to-Task address are used to create a task and are not separately retained by Task Flow afterward, except as part of the resulting task content. Twilio SendGrid may process and retain email data according to its own policies.
Quota, Rate-Limit, and Subscription Data
Quota counters, rate-limit information, cached subscription status, and entitlement records may be stored as needed to operate the Service, enforce limits, prevent abuse, and provide paid features.
Server Logs
Server and infrastructure logs may be retained for up to 30 days unless longer retention is required for legal, security, fraud-prevention, or dispute-resolution reasons.
Support Communications
Support emails and related communications may be retained for up to 24 months, then deleted or anonymized unless longer retention is required for legal, security, accounting, or dispute-resolution reasons.
Account Deletion
When you delete your account, we delete or anonymize personal information associated with your account from active systems as described in Section 9.
14. How We Share Information
We share information only as needed to operate, secure, support, and provide the Service, or as required by law.
Service Providers and Sub-Processors
We may share information with the following service providers.
Apple
Used for App Store distribution, Sign in with Apple, Apple In-App Purchase, APNs push notification delivery, device-level services, and platform diagnostics depending on your device settings.
Supabase
Used for authentication, database storage, cloud sync, backend functions, reminder processing, and calendar token handling.
OpenAI
Used for AI assistant responses, natural-language task understanding, transcription, text-to-speech, planning assistance, and Email Assist where enabled.
Adapty
Used for subscription management, paywall configuration, purchase validation, restore purchases, and paid feature access.
Google
Used for Google Sign-In and Google Calendar integration when you choose to connect Google services.
Microsoft
Used for Microsoft Outlook Calendar integration when you choose to connect Microsoft services.
Twilio SendGrid
Used for inbound email processing for the optional Email-to-Task feature.
Hosting Dünyam Bilişim Hizmetleri
Used for hosting the Task Flow AI service, request handling, TLS termination, infrastructure operations, technical diagnostics, and reliability.
Email and support providers
Used to receive and respond to support requests.
These providers process information according to their own terms and privacy policies.
Legal and Safety Reasons
We may disclose information if we believe it is reasonably necessary to:
- comply with applicable law, legal process, or government requests
- enforce our Terms of Use or other policies
- detect, investigate, or prevent fraud, abuse, security issues, or misuse
- protect the rights, property, or safety of Presage42, users, or others
- respond to disputes or support requests
Business Transfers
If Presage42 is involved in a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar transaction, information may be transferred as part of that transaction, subject to appropriate safeguards and applicable law.
No Sale and No Third-Party Advertising
We do not sell your personal information. We do not share your personal information for cross-context behavioral advertising. We do not use your data for third-party advertising or cross-app tracking.
15. Security
We use reasonable technical and organizational measures designed to protect information processed through the Service.
These measures may include:
- HTTPS/TLS for client-to-backend traffic
- secure authentication and session handling
- device-secure storage such as Apple Keychain for local tokens
- backend access controls
- rate limits and abuse-prevention systems
- database-level deletion and cascade mechanisms
- limited access to production systems where needed for operations, support, security, or legal compliance
However, no method of transmission or storage is completely secure. We cannot guarantee that information will be completely secure from unauthorized access, loss, misuse, or alteration.
If we become aware of a security incident affecting your personal information, we will notify you and relevant authorities as required by applicable law.
16. Your Choices and Controls
You have several choices regarding your information and App functionality.
You can:
- create, edit, complete, and delete tasks
- delete AI chats and related content where supported
- delete or disconnect calendar integrations
- regenerate your private Email-to-Task address
- disable notifications in your device settings
- revoke calendar permissions in your device or provider settings
- disconnect Google or Microsoft calendar access
- delete your account from within the App or by contacting us
- contact us for privacy-related requests
Some features may not work if you disable permissions or disconnect required integrations.
17. Regional Privacy Rights
Depending on where you live, you may have certain rights regarding your personal information.
European Economic Area, United Kingdom, and Switzerland
If you are located in the EEA, UK, or Switzerland, our legal bases for processing personal data may include:
- performance of a contract, where processing is necessary to provide the Service
- legitimate interests, such as operating, securing, and improving the Service
- consent, where required for permissions or optional integrations
- legal obligations, where processing is necessary to comply with applicable law
- establishment, exercise, or defense of legal claims
You may have rights to:
- access your personal data
- correct inaccurate personal data
- delete personal data
- restrict processing
- object to processing
- request portability
- withdraw consent where processing is based on consent
- lodge a complaint with a data protection authority
United States, Including California and Other State Privacy Laws
Depending on your U.S. state of residence, you may have rights to know, access, correct, delete, or obtain a copy of personal information, and to opt out of certain processing.
We do not sell personal information. We do not share personal information for cross-context behavioral advertising.
Turkey
If you are located in Turkey, you may have rights under applicable Turkish data protection laws, including Law No. 6698 on the Protection of Personal Data. These may include rights to learn whether your personal data is processed, request information about processing, request correction or deletion where applicable, object to certain processing, and seek remedies under applicable law.

We may need to verify your identity before responding to certain requests. We may also retain certain information where required or permitted by law, including for legal, security, fraud-prevention, accounting, subscription, sanctions/export-control, or dispute-resolution reasons.
18. International Data Transfers
Task Flow is operated from Türkiye and may be used globally where available.
Your information may be processed in countries other than where you live, including Türkiye, the United States, countries in the European Economic Area, and other locations where our service providers operate.
These countries may have data protection laws that differ from those in your jurisdiction.
Where required by applicable law, we rely on appropriate safeguards for international transfers, such as contractual safeguards, standard contractual clauses, adequacy decisions, consent, necessity for contract performance, or other permitted transfer mechanisms.
19. Children’s Privacy
Task Flow is not directed to children.
We do not knowingly collect personal information from children under 13. In the EEA, UK, or other regions where a higher age of digital consent applies, we do not knowingly collect personal information from children below the applicable age of digital consent without appropriate parent or guardian consent.
If you are below the age required by applicable law to consent to data processing, you should use the Service only with the involvement and consent of a parent or legal guardian.
If you believe a child has provided personal information to us without appropriate consent, please contact us at hello@presage42.com and we will take appropriate steps.
20. Third-Party Links and Services
The Service may contain links to third-party websites, services, or resources.
This Privacy Policy does not apply to third-party services that we do not own or control. Third-party services such as Apple, Supabase, OpenAI, Adapty, Google, Microsoft, Twilio SendGrid, Hosting Dünyam, and email or support providers process information according to their own terms and privacy policies.
We encourage you to review their privacy documentation.
21. Website and Cookies
The App itself does not use browser cookies.
Our website and support pages may use technical data and strictly necessary technologies to operate, secure, and display pages. If we add non-essential analytics, advertising, or marketing cookies in the future, we will update our disclosures and, where required, request consent.
22. Service Availability and Restricted Countries
The Service may not be available in all countries or regions.
Availability may be limited by:
- App Store settings
- legal requirements
- sanctions or export-control rules
- AI provider availability
- operational limits
- technical constraints
- business decisions
The App may be unavailable for download in certain regions, and our backend may block AI access from certain countries.
Our backend AI blocklist currently includes:
